How Lewisham and Greenwich NHS Trust supports agile staff with Rendezvous desk and room booking

The challenge

The busy Lewisham and Greenwich NHS Trust in London is responsible for running two acute hospitals, Queen Elizabeth Hospital and University Hospital Lewisham, in addition to community health services in Lewisham.

When the Trust opened up a new office for many of its admin staff during the pandemic, it decided the most efficient and effective way to manage this was to design a hot desking strategy supported by workplace management technology.

After a rigorous selection process, the Trust chose Rendezvous Workspace from NFS, a leading supplier of advanced desk and room scheduling technology.

The solution

Hundreds of agile staff in the Lewisham and Greenwich Trust can now ensure an efficient working day by booking their desk and meeting space before they come into the office.

Steve Corkin, NFS Head of Corporate Sales, Workplace Solutions, said: “The Trust implemented Rendezvous when they moved into their new refurbished offices.

“They needed a simple-to-use solution that provided all the facilities they required but which also matched their budget and could be deployed quickly.

“At NFS we specialise in a consultative approach that gets to the heart of what clients really need, and we were able to work hand in hand with the Trust to design and deploy exactly the system they needed.”

Customised design

The flexibility of Rendezvous – which is on the G-cloud platform – was particularly suitable for the Trust’s refurbished premises.
Jason Jenner, head of Rendezvous Operations for NFS, said: “Rendezvous is completely hardware agnostic and integrates well with many leading technologies.

“For the Trust, we teamed it with Roomz panel technology which enables staff to see if a room is available and book it instantly, but which operates wirelessly for easy installation.

“The staff use graphical floorplans to book their desks and space via an app or a self-service portal that shows where colleagues are working – if they are setting up a collaborative experience, they can book a desk and a meeting room in a single transaction.”

Up and running

The deployment of Rendezvous for the Trust was swift and effective – with a little extra help from NFS.

Steve said: “Because of the end of the pandemic, it was particularly difficult to get staff together en masse to do large training sessions. So instead, NFS created training videos so the Trust could roll the system out as quickly as possible.

“We were delighted to help – it’s always our aim to go the extra mile to get our clients fully up and running.”
